Access Levels
Client · Coach · Admin
A coaching team. Multiple clients. Spreadsheets everywhere. No single source of truth.
GTeX's annual program is built around a structured business growth methodology with four pillars: Clarity, Conversion, Expansion, and Influence. Clients track real business KPIs — revenue collected, sales value, total views, growth — across an entire year. With a coaching team involved, every client had a dedicated coach managing the relationship.
The infrastructure holding all of this together was a spreadsheet per client. Each one had charts. The effort was genuine. But the execution was fragmented — files scattered across drives, no central view for admin, coaches managing their client relationships across email and personal notes, and clients staring at a spreadsheet that told them their numbers but couldn't make them feel their progress.
There was no system — there was a collection of workarounds. No way to see which clients were engaged across the full cohort. No way for coaches to pull up a client's full history before a call. No way for admin to answer the one question that matters most at the end of a year-long program: what did we actually deliver?
A coaching business is only as organised as the system behind it. When that system is a folder of spreadsheets, the cracks show up in every client call, every team handover, and every attempt to prove impact at scale.
From scattered workarounds to one operating system
Before — the workaround era
- ✕One spreadsheet per client — charted, but scattered across drives
- ✕No central view for admin or the coaching team
- ✕Coach relationship history lived in email and personal notes
- ✕No call logging — context lost between sessions
- ✕Clients saw numbers, not momentum
- ✕No pillar completion visibility across the cohort
- ✕No activity feed — no way to know who was engaged
- ✕No way to measure what the program delivered at scale
After — one operations platform

One platform. Every job done.
Clients Own Their Progress
Live dashboards replaced static spreadsheets. Clients see their growth in motion — which keeps them accountable through a full year-long program.
Coaches Show Up Prepared
Full client history, call logs, and session notes in one profile. Every coaching conversation starts from context, not guesswork.
Impact Is Now Provable
Admin sees group-level KPIs, completion rates, and YTD financials across all clients. The transformation the program delivers is finally measurable.
No More File Management
Scattered spreadsheets became one system. Every client, every coach, every interaction — in one place, accessible to the right person instantly.
Methodology Made Measurable
The four pillars aren't just taught — they're tracked. The framework becomes a live accountability system embedded in every client's daily experience.
Scales With the Team
New coaches, new clients, new cohorts — the platform handles them through user management, not manual file duplication.
When your infrastructure matches the ambition of your methodology, the ceiling disappears. You stop managing chaos and start managing growth.
Most coaching businesses outgrow their tools long before they realise it
GTeX had built a serious business — structured methodology, a coaching team, an annual program with real client results. The infrastructure hadn't kept up. This isn't unusual. Most coaching businesses hit a point where the combination of spreadsheets, email, personal notes, and manual coordination stops being manageable — and starts costing them in client experience, team efficiency, and the ability to grow.
A custom operations platform solves a different problem than a dashboard. A dashboard shows you data. An operations platform runs your business. It handles how clients engage with the methodology, how coaches manage their relationships, how admin understands what's happening across the whole program — and it does all of that in a single system designed around how GTeX actually works.
The result is a business that can scale — more clients, more coaches, more cohorts — without proportionally more admin overhead, file management, or dropped context between sessions.

What people ask before building their own
Is this different from using a CRM like HubSpot or a tool like Notion?
Completely. A generic CRM tracks contacts and deals — it has no concept of coaching pillars, client KPI progress, or program completion rates. A custom platform is built around how your program actually works: your methodology, your client data structure, your team's access needs.
Can multiple coaches have their own client portfolios with separate access?
Yes — the coach access level is designed around exactly that. Each coach sees their assigned clients, their full history, and their own session logs. Admin sees across all coaches and all clients. Access is purposeful, not just permissioned.
How does this connect to the WCA app (Part 1)?
The WCA app handles the webinar-based onboarding and conversion phase. The Business Tracker is the year-long operations platform that follows. Together they cover the full client lifecycle — from first engagement to program completion.
How long does something like this take to build?
A platform of this scope — three access levels, multi-module per role, KPI tracking, call logging — typically takes 6–10 weeks depending on complexity and how clearly the requirements are defined up front. The clearer the methodology, the faster the build.
